Welcome to the Holiplay Benson Information Page
This page is designed to give you the need-to-know information regarding your extended school care arrangement at Holiplay Ryelands Kids Club. If you have any specific questions that are not addressed here you can contact us via the details above.
This is the most popular of our extended school care booking arrangements. A Guaranteed Space means exactly what it says on the ticket – your space is guaranteed! You can select from 1 to 5 guaranteed days each week across any one term. For example you may just require extended school care on Mondays only or you may require Mondays – Fridays each week. In any case we total up the amount of Mondays, Tuesdays, Wednesdays, Thursday and Fridays in that term as per your request, minus the School Inset Days and Bank Holidays on which we are closed and therefore do not charge, then give you the bill for the term via a self-generated invoice. Don’t panic the bill is not due all in one lump sum, you get to choose how you pay your bill opting for weekly, monthly or 1/2 termly instalments via a Standing Order. Please note any additional add hoc sessions required outside of your confirmed Guaranteed Days must be booked and paid for in advance using the Pay-As-You-Go Clubs Buddy Booking Portal (see below). Another important point to also note is that as your child’s space is ‘guaranteed’, it must be paid for whether or not he or she attends due to sickness or otherwise and missed days are NOT transferable. If you want to cancel your Guaranteed Space due to a change of circumstances we require 2-week notice in writing, after which your bill will be amended. If you wish to increase you Guaranteed Days midway through the term you will need to put in a request via email to your Play Leader Manager and subject to availability and confirmation your remaining Standing Order instalment amounts will increase also.
Summer Term 2020 Guaranteed Bookings will be available to request from 16th March – 4th April 2020.
Pay As You Go Bookings
If you require a more flexible childcare arrangement and want to book and pay for your sessions without a longstanding commitment you can do so using the Clubs Buddy Booking Portal. There is a separate registration and booking process for this method and a handy help guide for you on our help tab if you get stuck.
We are very proud of the relationships we develop with our children and parents at Holiplay and we work hard to continue nurturing that partnership throughout your child’s time at primary school. With that, there is ever-growing demand for spaces at our breakfast and after school club, and because we are limited by space and staff we have to be quite measured and prescriptive on how we allocate our spaces. Please see the breakdown below for how we allocate our childcare places.
1st Priority – Guaranteed Spaces to existing parents and carers using the service.
2nd Priority – Guaranteed Spaces to siblings of existing parents and carers using the service.
3rd Priority – Guaranteed Spaces to newly registered parents and carers using the service.
4th Priority – Pay As You Go spaces open to all parents and carers using the service and subject to availability – early booking and payment is strongy recommended!
Special Consideration – Where possible we will try to accommodate children with additional needs or emergency childcare requests, however these arrangements will always need to be discussed and coordinated with the setting Manager on a case-by-case basis.
Paying with Childcare Vouchers and through the Tax Free Government Scheme
You can make payments for your guaranteed or pay as you go childcare booking using childcare vouchers. We are registered with a vast number of voucher providers some of which are included in the table below. If your provider is not listed below please get in touch and put in a request for us to register our affiliation with your provider and we will do so. Set up normally take 3 – 5 working days so there may be a delay in us being able to provide childcare, so early contact is always advisable. After each childcare payment we require a screenshot of your payment to the email address above so that we can reconcile your payment against your booking. If we do not receive that screenshot we may need to suspend your account until we can verify your payment.
Statements of Confirmation and Form Completion
From time to time support agencies such as Universal Credit and The Student Loans Company request confirmation of your childcare payments to us. We strongly suggest you keep a record of all of your payments, invoices and receipts so that you can provide them upon request. If the applicable agency requires an official Statement of Confirmation with the details of your child’s start date and payment history we can produce these for a small administration fee of £5.50. There is also a 7-day turnaround service for these form to be drafted or completed as in the case of Student Child Care Grant (CCG) Forms.
Term and Conditions
Please be advised that we have very strict Terms and Conditions of membership. Our staff, our parents and carers and indeed our children are all required to observe or 3R’s Code of Conduct being respectful, responsible and reliable at all times. Parents and carers are also required to maintain their childcare payments and to pay any late collection fees where applicable. Our Play Leader Managers reserve the right to suspend the membership of any child, parent or family who does not abide by the Terms and Conditions of Membership. In all cases we will communicate our decision to suspend and or terminate services in writing first.
Feedback and Complaints
Your opinion matters! Through parent carer feedback we are able to improved the quality and scope of or provision. Whether we are doing something right or there is a concern that you would like to raise with us you can contact us via the details above and a Play Leader Manager will respond to you within 1 business day! If you have a serious complaint or grievance against us you can contact the Multi Agency Safeguarding Hub (MASH) Team for the borough or call Ofsted directly on 0300 123 1231. In either case we hope that we are able to assist you and to address your concerns long before it needs to escalated. If you would like to feedback anonymously you can send an email to email@example.com. Your setting manager will not know the email has come from you, however we will address your concerns or forward your compliments accordingly.
